job description

We are seeking a talented, motivated, and experienced candidate to join our team as an
Administrative and Accounting Assistant. You will report directly to the Managing Director
and work closely with the existing Administrative and Management Assistant. Your primary
responsibilities will include:

WHAT YOU'LL DO

Invoicing / accounting

  • Overseeing customer and supplier invoicing and payments
  • Monitoring fixed charges and ensuring timely payment
  • Keeping track of unpaid invoices and taking appropriate action
  • Verifying and registering invoices and accounting documents
  • Performing bank reconciliations
  • Contributing to the development of invoicing and payment processes

Administrative

  • Providing administrative support for funding applications and tracking progress
  • Managing emails and correspondence with external accounting and financial agencies

Human Ressources

  • Coordinating hiring formalities, including preparing employment contracts and registering
    for medical exams
  • Managing company health insurance enrollments and monitoring apprenticeship and
    internship agreements
  • Preparing end-of-employment documents
  • Maintaining payroll records and processing salaries in France, Spain, and Poland
  • Reviewing and processing expense reports
  • Organizing travel arrangements

ESSENTIAL SKILLS

  • Strong proficiency in Microsoft Word and Excel
  • Knowledge of online accounting management tools
  • Fluent in English, both written and spoken
  • Excellent writing and orthographic skills

Preferred skills

  • Strong numerical skills
  • Proficiency in a second foreign language
  • Prior experience in managing funding applications or CIR/CII

TOOLS & TECHNOLOGIES

  • Experience with Google Suite (Gmail, Google Sheet, Google Doc)
  • Penny Lane or other business accounting software

Education and Experience

  • BTS Administrative and Accounting Assistant or DUT GEA degree
  • At least 1 year of experience in a similar role
